Estimates

Overview

Estimates in viggoVet help you provide clients with a cost projection for treatments, procedures, or medications before finalizing an invoice. Clients can review and approve the estimate before committing to the service.

You can access the Add Estimate button in the same locations as invoices:

  • Invoices Side Menu
  • Client Profile > Billing
  • Patient Profile > Invoices

Step-by-Step: Creating a New Estimate

Create Estimate Page

Step 1: Enter Estimate Details

  1. Estimate Date & Expiry Date – Set the validity period for the estimate.
  2. Client (Required) – Select the client associated with the estimate.
  3. Notes – Optional field to add additional comments or special instructions visible to the client.

Step 2: Add Items to the Estimate

Each estimate can contain multiple services, medications, or products.

Adding an Item

  1. Click Add Item to insert a new row.
  2. Select the Item from your inventory.
  3. Assign a Patient (Multiple patients can be added if they belong to the same client).
  4. Select a Provider (The veterinarian responsible for the treatment/service).
  5. Set the Price Range (e.g., Price From and Price To for variable pricing).
  6. Set the Quantity Range (If applicable, specify a range for quantity, e.g., Qty From 6 to 12 for medication flexibility).
  7. Apply Discounts (Optional, as a flat amount or percentage).
  8. Print Checkbox – If enabled, the item will be included in the printed estimate.
Tip: Use a barcode scanner to select items quickly using SKU or barcode.

Step 3: Creating the Estimate

Once all details are added:

  • Click Create Estimate to save and finalize the estimate.
  • The system will generate an Estimate and store it under Estimates.

Managing an Estimate

After creating an estimate, you have multiple actions available:

Accepting or Declining an Estimate

  • Click on the Pending button to open the dropdown.
  • Choose Accept to convert the estimate into an invoice.
  • Choose Decline to reject the estimate (this does not delete it, only marks it as declined).
  • You can also decline specific items instead of the whole estimate.

Editing an Estimate

  • Click the Edit button to update pricing, quantities, or details before accepting it.

Printing & Downloading

  • Click Print to generate a hard copy for the client.
  • Click Download to save the estimate as a PDF file.

Checking Estimate Details & Dates

  • The estimate displays the total cost range, taxed amount, and validity period.

Deleting an Estimate

  • If an estimate is no longer needed, click Delete to remove it permanently.

Estimate Tips

  • Use price & quantity ranges for flexibility in treatment plans.
  • Always set an expiry date to maintain valid cost projections.
  • Estimates can be accepted anytime to convert into an invoice without re-entering data.
  • Encourage clients to approve estimates promptly to secure appointment slots.
  • Print or download PDF estimates to provide clients with a professional breakdown.
